Remote Executive Assistant - C-Suite Support

Our client, a distinguished and rapidly growing international corporation, is actively seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive remote support to their C-suite executives. This is a fully remote position, offering flexibility and the opportunity to contribute to high-level operations from anywhere. The ideal candidate will possess exceptional communication skills, impeccable time management abilities, and a keen eye for detail, ensuring the seamless execution of administrative tasks and strategic initiatives. Responsibilities Manage and maintain complex executive calendars, including scheduling meetings, appointments, and travel arrangements across multiple time zones. Screen and prioritize incoming communications (emails, calls, mail), responding on behalf of executives when appropriate. Prepare and edit correspondence, presentations, reports, and other documents with a high degree of accuracy and professionalism. Coordinate domestic and international travel logistics, including flights, accommodation, visas, and itinerary planning. Organize and manage virtual meetings, including preparing agendas, taking minutes, and following up on action items. Conduct research on various topics as requested by executives, summarizing findings concisely. Maintain confidential files and records with utmost discretion. Assist with special projects and ad-hoc administrative tasks as assigned. Serve as a primary point of contact for internal and external stakeholders, representing the executives with professionalism. Proactively identify potential scheduling conflicts or logistical issues and implement timely solutions. Manage expense reporting and budget tracking for executive needs. Foster positive working relationships with team members and stakeholders across the organization. Qualifications Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role, preferably supporting C-level executives. Exceptional organizational and time-management skills, with the ability to multitask effectively in a remote setting. Excellent written and verbal communication skills, with a mastery of grammar and proofreading. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (Zoom, Microsoft Teams, Slack). Experience with calendar management and travel booking systems. High level of discretion and confidentiality. Proactive approach with strong problem-solving capabilities. Ability to work independently with minimal supervision and demonstrate initiative. Comfortable managing tasks across different departments and international locations.
